Facilities
Centrally located in the heart of New England, the Sturbridge Host Hotel and Conference Center is only 45 minutes from Hartford, CT, 1 hour from Boston, and 2 hours from Albany, NY. It is easily accessible to eastern and western Mass., as well as to Connecticut, Vermont, New Hampshire, Rhode Island, Maine, and New York State.
Most exhibit spaces are in the Hawthorne Exhibit Hall.
Continental breakfast, lunch desserts, and coffee break foods will be served at the rear of the hall to attract conference participants to the exhibit area early in the morning and during breaks throughout the day.

Application for Space
Application for exhibit space must be made using the Application and Exhibit Contract. Return the contract to MassCUE, Inc., c/o Exhibit Coordinator, Box 812188, Wellesley, MA 02482.
Full payment is due with the application. MassCUE will make the first booth assignments on April 15. Exhibitors whose contracts and full payments have been received will be assigned at that time based on:
- Past participation and membership
- Amount of space required
- Postmark date
- Amount of financial support given to conference or MassCUE organization
- Special needs
- Grouping for proper display comparison
- Past adherence to conference exhibitor policies, such as official closing and breakdown times.
Exhibitors whose contracts and payments are received after April 15 will be assigned as they arrive.

Exhibit Hall Space
MassCUE will provide each booth with drapery on the back wall and side dividers, a company identification sign, 2 chairs, a trash can, and a 6’ table. Booth back walls are 8’ high, and side dividers are 3’ high. The hall is carpeted. No special signs, booth construction, apparatus, or lighting fixtures are permitted in excess of 8’ in height. Interference with the light or space of other exhibits is not permitted. Due to strict fire laws, NO PART OF THE EXHIBIT MAY EXCEED THE 8’ x 10’ SPACE. The “alcove” space at the rear of the hall will be sold as one large unit.
Courtyard Room Demos
Along one side of the courtyard there are 11 additional rooms that may be used for demonstrations throughout the day. The $1,525 fee for one of those spaces includes an 8' x 8' porch or patio space in the courtyard that opens into a standard hotel room. MassCUE can arrange to have the furniture removed to make space for classes or demonstrations. The courtyard is on the opposite end of the hotel from the Exhibit Hall. Courtyard workshop/demo descriptions submitted before July will appear on the conference web site.

Hub Technical Sponsors Exhibit Hall Reception
From 3-4:30 PM on Wednesday, Novmber 14, HUB Technical invites attendees to celebrate with exhibitors in the Hawthorne Exhibit Hall. The Exhibit Hall will remain open until 4:30 where attendees can visit the exhibits and enjoy the festive atmosphere. Attendees will have the opportunity to purchase wine or beer at a cash bar.
Exhibitors may purchase tickets ($50 for 10) to hand out to their friends or clients.
Booth Installation and Dismantling
Exhibit Set-Up
Exhibitors may set up in the exhibit area between 3:00 p.m. and 8:00 p.m. on Tuesday. Exhibit Hall doors will be locked at 8:00 p.m.. Exhibit Hall doors will be opened at 6:30 a.m. on Wednesday and Thursday for exhibitors who would like to set up before the 8 a.m. opening each morning. Exhibits must be ready for participants to enter the ballroom at 8 a.m. on Wednesday and Thursday.
At the rear of the hotel, there are two doors leading into the Exhibit Hall where you may unload. If you need a dolly, please bring one with you.
Exhibit Break-Down
The Exhibit Hall will be closed and locked at 5:00 p.m. on Wednesday and 3:30 p.m. on Thursday. Exhibits must be removed after 3:30 p.m. on Thursday. In order to be fair to participants who attend on Thursday only, exhibits may not be removed before 3:30 that day. Exhibitors who dismantle their display before 3:30 on Thursday will not be allowed to exhibit at future MassCUE conferences. Any exceptions must be presented to and approved by the Exhibits Coordinator.
Equipment Delivery
PLAN AHEAD - There is no storage at the Sturbridge Host Hotel. Exhibitors may NOT have equipment or boxes delivered to the hotel before the set-up day. If you need a drayage company to receive your equipment, store it in their warehouse, and deliver it to the hotel, MassCUE recommends that you use SER Exposition Services. You must make your arrangements directly with: SER Exposition Services, 35B New Street, Worcester, MA 01605. Telephone: 508-757-3397.
In September, registered exhibitors will receive a packet from SER Exposition Services explaining how to make shipping arrangements.
EXHIBITORS MUST TAKE FULL RESPONSIBILITY FOR DELIVERY AND PICK-UP SHIPMENT ARRANGEMENTS. MASSCUE AND THE STURBRIDGE HOST HOTEL WILL TAKE NO RESPONSIBILITY FOR LOST SHIPMENTS.
Electrical
PLEASE NOTE THAT ALL ELECTRICAL REQUIREMENTS MUST BE ARRANGED WITH THE HOTEL. Download their form and return it directly to the Sturbridge Host, not to MassCUE.
Raffles or Drawings
We will provide an opportunity for exhibitors to donate items to be included in conference-wide drawings held throughout the conference. Indicate on your contract that you wish to provide raffle items, and we will contact you before the conference. Drawings will take place in "CUE Central" in the exhibit hall.
Sales
Exhibitors are encouraged to sell merchandise in the Exhibit Hall. Every year many of our conference participants have requested that we find more ways for them to spend their money!!! They are always looking for good conference deals! In addition to software, they have requested handheld accessories, how-to manuals, and small items to take back to their classrooms.
Exhibitor Registration and Housing
Name badges for the representatives listed on your contract will be available from Linda Colvin and Jim D'Attillio, Exhibits Managers, just outside the exhibit hall. Two complimentary lunch tickets per day are provided for each exhibitor and will be handed out with exhibitor badges. Individuals (including consultants, colleagues, friends, relatives, etc.) who may be associated with the company but are not working in the booth, must pay regular registration fees.
Workshops / Presentation Schedule is Full (as of June 15, 2007)
You may submit a Workshop Proposal application as soon as your Exhibit Contract is returned to MassCUE with full payment. No company that has not signed up for an exhibit booth will be allowed to present a workshop. However, reserving a booth does not guarantee a workshop presentation slot.
There are a very limited number of exhibitor workshop spaces available. The deadline for proposals is April 1. However, until the workshop schedule is filled in May, the program committee will consider proposals from companies that have registered to exhibit.
Our attendees come seeking useful, practical ideas for their classrooms. They are particularly interested in curriculum-driven workshops, presented by educators. Exhibitor workshops will be held to the same high standards as those submitted by educators.
Exhibitor workshops must be presented by educators who use the product.
Presentations held in the Courtyard demo rooms do not have to be submitted to the Program Committee for approval. If you wish your presentations in Courtyard demo rooms to appear in the conference workshop schedule, you must submit complete titles, descriptions, and presenter information by July 1 in order to be included with the preconference information on the web site.

Advertising
There is advertising in the final conference program booklet that will be available to every conference participant. Advertising requirements can be found on the Advertising Contract.
25th Anniversary Celebrations
Exhibitor Reception Sponsored by Hub Technical:
From 3:00 to 4:30 on Wednesday, November 14, there will be a wine and cheese reception held in the Hawthorne Exhibit Hall. Participants will have a chance to visit the exhibits during that period when no other activities are planned. They'll be able to add to the party atmosphere by purchasing a glass of wine or a beer to enjoy as they tour the exhibits. Exhibitors may purchase books of tickets (10 for $50) in advance -- to hand out to their customers or to visitors to their booths.
Anniversary Gala Celebration:
From 5:00-9:00 there will be a festive, 25th Anniversary Gala in the Courtyard. Past MassCUE presidents, past Pathfinder Award recipients, and many educators who were instrumental in beginning MassCUE 25 years ago and in building the organization through the years will be invited to celebrate at a gala dinner celebration.
Sponsorship or support of the Exhibits reception or the 25th Anniversary Gala are the most visible PR opportunities available.
